Zoom Video Conferencing Support

Upgrade your Zoom client to 5.0 now. After May 30th, all Zoom clients will receive a forced upgrade to 5.0 when attempting to join meetings.

Zoom is a web-based collaboration tool that facilitates video conferencing, online meetings, screen sharing, chat, and mobile collaboration. While the University is working to finalize an agreement with Zoom, Inc., Information Technology Services is working to ensure users a streamlined, efficient, and successful Zoom experience.

On March 12th, N.C. A&T employees received an email invitation to activate a trial license Zoom account. Student accounts will be provisioned when the Zoom license agreement is final. On April 7th, ITS enabled passwords on all meetings and turned on Waiting Rooms by default as additional security enhancements to protect your privacy.

Activating Your N.C. A&T Zoom Account

  • If you have not already activated your trial Zoom account, click on the “activate” button in the email you received from Zoom (no-reply@zoom.us). You will be presented with a web page inviting you to enter your username and password. Use your N.C. A&T email address and create a new password. Employees should not use Google or Facebook to activate and students should not use Facebook. Once a permanent agreement is in place, we will transition to OneID login credentials to access Zoom.
  • Once you activate your Zoom account, either open Outlook calendar or visit https://zoom.us to begin creating Zoom meetings. The activation link in the email invitation will expire after account activation.
  • N.C. A&T accounts have no meeting time limits and allow 100 participants per meeting. If you are experiencing 40-minute meeting time limits, contact the ITS Help Desk at 336-334-7195 or helpdesk@ncat.edu or AggieHelp.

Recording Guidelines

  • Recording storage limitations are not being enforced at this time, but please be advised that this may change in the future. ITS will develop a long term strategy as we work to finalize the Zoom license agreement.
  • Disable automatic recording of meetings in your Profile Settings, and click “Record” during the meeting to capture only what is needed.
  • Delete recordings when no longer needed.

Zoom Add-ons / Plug-ins

  • Outlook Calendar Zoom Plug-in: Provides an option in the Outlook desktop and web-based clients on the calendar ribbon to easily add a Zoom meeting to any calendar event. This plug-in has been enabled for all N.C. A&T accounts.
  • Other add-ons / plug-ins: Zoom Marketplace offers both fee-based and free add-ons / plug-ins to increase the functionality of Zoom or integrate with other applications. Currently requests for Zoom add-ons / plug-ins are being denied until a final Zoom agreement is in place. All requests are being recorded for future review and testing within our enterprise environment.

Please report any Zoombombing incidents to InformIT@ncat.edu. Should you need additional assistance with activating, accessing, or using your Zoom account, please contact the Help Desk at 336-334-7195 or helpdesk@ncat.edu or AggieHelp.
