W-2 Wage and Tax Statement

The W-2 form is your wage and tax statement provided by your employer. The W-2 form provides information regarding taxable wages paid to you, and the taxes withheld from those wages for the calendar year (January 1, XXXX through December 31, XXXX) specified on the W-2 form.

 

Mail Distribution

Paper W-2 forms (for employees who have not consented to receive them electronically) will be mailed by the last day of January to the mailing address listed in the payroll system. Please verify the mailing address on your paycheck or direct deposit notice to ensure it is correct.

Payroll will mail the W-2 form via U.S. Postal Service to the address on record for employees who have separated from North Carolina A&T State University.

Note: Foreign national employees with wage exemption from income tax under a tax treaty will receive a 1042-S form. Some may also receive a W-2 form in addition to the 1042-S if your year wages exceeded the maximum treaty exemption amount.

For security reasons, W-2s cannot be faxed or emailed. They can be picked up in the University Payroll Office with the proper identification or mailed via the U.S. Postal Service.

 

W-2 Electronic Consent

Current employees may elect to receive their W-2 statements online through Banner Self-Service (Aggie Access Online) in an IRS approved PDF format.  This will allow you to print and send the online form with your tax return.  An email notification will be sent to employees when W-2s are available on Aggie Access Online. 

An employee who consents to receiving the Form W-2 electronically will not receive a paper copy.   

Employees that separate from the University, must ensure to revoke the electronic consent for W-2 form distribution prior to their last workday.  Otherwise, the pay system will not produce a paper W-2 form. 

The process to give consent to receive the electronic W-2 version is quick and easy. Just follow these steps:
  • From ncat.edu, click on Faculty & Staff
  • Select Aggie Access Employee Dashboard
  • Enter your University OneID credentials to login
  • Click on the Employee tab
  • Click on the Tax Forms option
  • Select Electronic W-2 Consent
  • Check the selection criteria – Consent to receive W-2 electronically to give consent to receive your W-2 statement online
  • Click Submit
  • Once you click Submit, a message will display at the top of the section: Electronic Statement consent was submitted successfully. You may now exit.
If you wish to revoke your consent at any time you may go back in to the Electronic W-2 Consent option and uncheck the box.

Alert! This document contains your social security number, which you will want to protect to help prevent identity theft. Employees are advised to not leave their computer screen unattended when viewing W-2 forms. Also, be sure to retrieve the printed copy promptly if routed to a network printer shared by others.

 

The Electronic Form W-2 Consent Statement is effective for Forms W-2 issued for the calendar year elected and all future periods until consent is withdrawn or the individual is no longer employed at the University.

An employee may withdraw his or her consent by entered Aggie Access Employee Dashboard online, unchecking the Electronic Consent box, and submitting the change. The withdrawal of consent does not apply to a Form W-2 that was furnished electronically before the withdrawal of consent via Aggie Access Online.

Only active University employees will have access to the electronic version of Form W-2. If a former employee requires an additional copy of the Form W-2, he or she may follow the aforementioned methods of contacting the Payroll Office.

If an employee has consented to receive an electronic version of Form W-2 and has not printed form prior to termination, they should contact the University Payroll Office in order to receive a paper copy via US Postal Service.

It the responsibility of the employee to ensure that a current mailing address is available in the Banner pay system by the end of each calendar year (December 31st) of each year to support the W-2 form process.

The Form W-2 may be required to be printed and attached to a federal, state, or local income tax return. You may print the electronic W-2 Form as many times as needed.

W-2 Statement Descriptions

Subtract before-tax benefit deductions (health insurance, dental, parking, etc.), and before-tax retirement deductions from your gross wages to arrive at the taxable wages reported in Box 1.

Total federal income tax withheld.

The amount is based on the withholding status and applicable W-4 criteria claimed.

Subtract before-tax benefit deductions (health insurance, dental, parking, etc.) from your gross wages to arrive at the taxable wages reported in Box 3. A maximum of $176,000 of wages, the annual Social Security wage base, would be reported in Box 3. This may differ from Box 1 if you have pre-tax deductions.

Total social security tax withheld. Tax rate: 6.2%

Subtract before-tax benefit deductions (health insurance, dental, parking, etc.) from your gross wages to arrive at the taxable wages reported in Box 5. 

Total Medicare tax withheld. Tax rate: 1.45% 

Total before-tax dependent care flexible spending account contributions deducted from your pay. 

This box is used to report various types of compensation or deductions with specific codes. Some common codes include:
  • Code D: 401(k) plan contributions.
  • Code E: 403(b) contributions.
  • Code W: Employer contributions to a Health Savings Account (HSA).
  • Code DD: Cost of employer-sponsored health coverage.

Retirement Plan box will be checked if you contributed to a retirement plan and/or if NC A&T State University made contributions to a retirement plan on your behalf.

This box is used to report any other information, such as dues, educational assistance, or other deductions that don’t fit into other boxes.

Total state income tax withheld

Amount is based on the withholding status and the number of withholding allowances claimed.
