Moving Allowances and Expenses
New Employee Moving and Relocation Expense Allowance
This policy outlines the guidelines for Moving and Relocation Expense Policy for new hires.- Eligibility: New, full-time, permanent employees moving from outside a 50-mile radius of Greensboro. Must use non-state funds.
- Approval: Requires written approval from the Chancellor or appropriate Vice Chancellor before any commitment is made.
- Funding: Non-state funds only, with potential exceptions for Contract and Grant funds (with specific approvals).
- Payment Timing: Within the first year of employment. Can be on the first paycheck if hiring and paperwork are completed in time. 9-month faculty can receive it in their first payroll distribution.
- Eligible Expenses & Documentation: Because allowances are taxable, no receipts are required. The allowance is a lump sum to cover moving costs, which are the employee's responsibility. No other moving expenses will be paid by the university.
- Allowance Levels (maximums):
- Chancellor: Negotiated with UNC Board of Governors
- Provost & Vice Chancellors/Other Chancellor Senior Officers/Deans: $10,000
- Associate/Assistant Vice Chancellors/Vice Provost/Associate/Assistant Deans/Directors: $7,500
- Faculty (Administrators/Chairpersons/Full Professors): $5,000
- Faculty (Assistant/Associate Professors): $3,000
- Athletics Coaches: 5% of base salary
- Department Head: $5,000
- FLSA Exempt Professional Staff: $3,000
- Other Employees: Contact Talent Solutions Office.
- Exceptions: Allowances exceeding these levels require justification and approval from the Talent Solutions Office.
Discontinuation of Employment
Employees leaving within one year must repay 100% of the allowance/reimbursement (gross amount).
